Office Manager

Salary: $17 to 19 per hour.

Position Overview

We are seeking a bilingual Office Manager who is fluent in both Spanish and English to support our nonprofit organization whose mission is to increase access and opportunities for Latinos and influence the systems that serve them. HSC is a private, non-profit organization whose work focuses on developing opportunities that result in an educated, healthy, prosperous, and engaged Latino community.

The Office Manager will play a crucial role in ensuring the smooth operation of our office by managing supplies, handling technology needs, and serving as the initial point of contact for visitors and phone inquiries. This position is ideal for a candidate with strong organizational skills, a welcoming attitude, and a passion for helping communities in need.

Key Responsibilities


Office Administration:


Manage and maintain office supplies, ensuring inventory is stocked, organized, and accessible.


Coordinate orders for office supplies, equipment, and technology needs to support staff productivity.


Maintain a clean and organized office environment to include working with property management to address any building maintenance issues.


Reception and Client Interaction:


Greet and assist visitors warmly and professionally, creating a welcoming environment for clients, community members, and partners.


Answer incoming phone calls, provide information and referrals to community resources, and connect callers with the appropriate staff members and/or community resources.


Provide accurate and helpful information about services and resources related to basic needs such as housing, food, healthcare, and financial assistance.


Maintain accurate client database and produce monthly reports for funders and Executive Director.


Technology Management:


Place orders for technology equipment as needed, including laptops, phones, and other devices for staff.


Track and maintain technology inventory, ensuring all equipment is properly labeled, tracked, and functioning.


Coordinate with IT support for any technical issues or maintenance requests.

Qualifications


Language Skills: Fully Bilingual (fluent in Spanish and English), with excellent communication skills in both languages (written and verbal).


Experience: Minimum of 2 years of office administration or receptionist experience, preferably in a nonprofit or community-based setting.


Interpersonal Skills: Friendly, patient, and compassionate demeanor, with a commitment to supporting underserved communities.


Organizational Skills: Strong ability to multitask, prioritize, and keep accurate records.


Tech Savvy: Comfortable using office software (e.g., Microsoft Office, Apricot client management database), ordering systems, and general technology troubleshooting.
